Workflow 

  • My Work Space feature allows all users to access all their tasks in one place. It replaces the existing 'My Activities' module. It has a new user interface that displays all the tasks for the logged-in user in a segregated manner. Users can further filter, perform tasks, Workflow actions, Block chain actions (for block chain enabled projects from device) and also perform Route activities.
  • To access the ‘My Workspace’ click 'My Activities' icon at the top toolbar. This is one of the default widgets that opens when a user logs in. The widget will display all the items that are required for action. (which includes, Workflow action, assigned tasks, Work Labor, Inspections, Permit approvals, Report Approvals etc.)

Pin My Work Space 

  • It can be accessed from 2 places in the application:
    • On Desktop / Tablet 
      • From the icon at the top right hand corner and left of the LiveLink icon.
      • From the user menu > My Workspace icon
    • On Mobile
  • From the icon at the top right hand corner and left of the LiveLink icon.
  • From the user menu. > My Workspace icon.


  • At the top, the user icon is displayed along with the label 'My Workspace'. The current week's calendar is displayed with today as the default just below that.
  • Users can switch to Next/Previous dates by clicking on the arrows provided. By default, ‘Today’ is highlighted in Blue.



  • Users can Collapse or close the widget by clicking on the '-' and 'x' icons. When collapsed, the widget will show the user icon in it as shown in the mockup.
  • The calendar will highlight the current date in Blue.
  • If User clicks on any of the dates, the selected date will be highlighted in yellow as shown below.



  • The count of tasks for the selected date will be shown in the first tile along with the date. 
  • If the user has at least 1 task, then that date is displayed as underlined. If no tasks for a given date, then there is no underline.

  • My Workspace, by default, shows 4 tiles as predefined filters.
  • Today
  • Overdue
  • Upcoming
  • All
  • Block chain Queue (displayed only for Projects that have Block Chain option enabled)


  • File Route  - Displays all the active routes for logged-in users to take action on.
  • Each tile will display a count of different types of tasks inside the tile, (For Example: 2 Work Assigned, 4 Inspections etc.)
  • If there are no Tasks for Today/ Overdue or Upcoming, then that tile will show '0' tasks.
  • Similarly, If there are no active Route Items or Blockchain items to take any action, then, the respective tiles will show zero count.

Click Tile

  • Every tile in the widget acts as a predefined filter. When a user clicks on a tile, whether it is Today, Overdue or Future/Upcoming tile,  the respective filter is applied and all tasks for the filter are displayed in the 2nd widget. 

Click On Today

  • ‘Today’ widget is displayed in Green as shown below. It will show the total count of tasks for today at the top collectively. If there are no tasks, then the count will be shown as '0'
  • When the widget is opened, all the tiles will show the respective task counts. But none of them are selected.
  • User clicks on the 'Today' tile. The 2nd widget for 'Today' is displayed.
  • It will display the label as 'Today' along with the count of tasks for the day.
  • It will show all types of tasks user has been assigned for the day (Tasks, Workflow assigned, inspections, Daily reports etc.)
  • Every Task Tile will display the following data:
  •  App Icon (Icon of the Smartapp from where the task originated)
  •  Name of the task (Name of the task as in smart item)
  •  Company (Assigned company)
  •  Work Team (Assigned Work Team)
  •  Start Date - End Date (If multi day task)  - Start and End Time (if  single Day task)
  •  Task Status - Current Status of the task
  •  Task Percent Complete - Current percent complete on the task.
  •  Overdue label (If the task is overdue, a label is shown on the task)
  • Location (It can be a GPS or a Project Location) clicking on this will navigate to Map mode or Sketch and display the task respectively.

Note: If the user clicks on any other date at the top, the first tile loads tasks for that date and displays it in the 2nd widget. The other tiles are not affected. If the user has clicked on any other date on the calendar and if he wants to return to today, he can click on the 'Today' label at the top right, which will route the user to the current date.

Example 1: If a user clicks on a WF action (say Approve) and it needs comments to be added, then the same interface opens that is at present from My Activities.

Example 2: If User clicks on the 'Inspect' button of an Inspection task, and it has been configured to add additional information, in a Smart Item, the Smart Item opens and the user enters all the required information and then completes inspection.

Example 3: If the user clicks on a WF action, which needs some mandatory fields to be first filled in, then the user is first shown the pop-up, which says, "You are required to first fill some mandatory fields before completing WF action. Do you want to open the smart item now?"

Click On Overdue

  • Overdue tile is displayed in Peach color. Click on Overdue, will open the 2nd  widget with all the Overdue tasks. These tasks are again sorted by date.

Note: When on this tile, clicking on date will have no effect. It will just change the count on the 1st tile. User has to click on the 1st tile to get the tasks of that particular date.

Click On Upcoming

  • ‘Upcoming’ tile is displayed in Orange color. Click on 'Upcoming' tile will open the 2nd  widget with all the respective tasks. These tasks are again sorted by date and displayed.

Note: When on this tile, clicking on date will have no effect. It will just change the count on the 1st tile. User has to click on the 1st tile to get the tasks of that particular date.

 

Click On All

  • Upcoming tile is displayed in Blue color. Click on 'All' tile will display a combination of all tasks (Overdue, Today, Upcoming), but ‘Today’ will be default. 
  • User has to scroll up to view the overdue tasks and has to scroll down to view the upcoming tasks. By default it will be sorted in ascending order of date. The date is displayed as the label at the top of the tile as the separator.


Click On File Route

  • File Route displayed in Green color. Click on the 'File Route' tile will display a combination of all Routes which are ‘Active’. 
  • The assigned active Routes are shown in the queue which are assigned to the logged in User. 
  • Route Queue does not have grouping/filtering options, Users can search the Queue or sort  the list in ascending/descending.

 

  • List can show multiple Routes that are Active, selecting a Route will highlight the Route and the ‘Stamp’ button will be enabled.  


  • Clicking on the 'Stamp' icon will show an alert  message 'Do you want to open the file in Sketch and Stamp?'

  • Clicking on 'Yes' will load the Sketch File that needs to be stamped and Stamp File will be open by default. 


Click On Blockchain


  • Clicking on 'Blockchain Queue', will display all of the blockchain transactions for the logged in User. 


  • Blockchain Queue launched from My Workspace is the same as the Blockchain Queue when launched from the User menu. However Queue will be default to Awaiting Authentication View/Filter. Additional Grouping/Filtering options does not apply from My Workspace. Users can search the Queue or Sort the list Ascending/Descending. 


Zero Task 


  • Zero Tasks on a selected date.
  • If there are no tasks in any given filter, then the count will be shown as '0' and all the details of the type of tasks below is not displayed. 

When No Tasks for a selected filter
  • If there are no tasks in any given filter, then the count will be shown as '0' and all the details of the type of tasks below are not displayed. Now if the user clicks on the tile that has zero tasks the 2nd widget will show a generic watermark as 'No items available'. 
  • Below is an example when a user applies filters and the result of the filter is zero tasks.
  • If the user clicks on a overdue tile which has no overdue tasks even then, the same watermark is shown.

Filter to Task 

  • Users can further filter the tasks for the selected type based on the type of task. A set of predefined filters are available for filtering the tasks. They are: 
  • Date (Default) - This is applied by default and all tasks are displayed in ascending order by Date
  • Work Assigned - This filter shows only tasks assigned for the user (Start/Finish)
  • Work Labor - This filter will display all the Work Labor (Manpower) that needs to be approved. (This is role specific. Hence a user without any tasks when he applies this filter will be shown a watermark. 'No Items available')
  • Permits - This filter will display all the permits that need to be approved. (This is role specific. Hence a user without any tasks when he applies this filter will be shown a watermark. 'No Items available')
  • Inspections - This filter will display all the Inspections that need to be approved. (This is role specific. Hence a user without any tasks when he applies this filter will be shown a watermark. 'No Items available')
  • Apps - This filter will display all the apps from which items have been assigned to the user. It will display all the apps, and users can select one or more apps to filter the tasks.
  • Workflow - This filter will display all the workflow assigned smart items to the user.
  • Daily Reports - This filter will display all the daily reports that need to be approved. (This is role specific. Hence a user without any tasks when he applies this filter will be shown a watermark. 'No Items available')

Note: Any filter applied is only with respect to the selected tile. The moment a user clicks on a different tile, any filter applied should automatically be cleared. 

Example: User has clicked on the 'Overdue' tile and then applied a 'Permit' filter. Now if the user clicks on the 'Today' tile, the just applied 'Permit' filter will be cleared and all the tasks for today will be loaded in the second widget.

  • Blockchain Queue will be default to Awaiting Authentication View/Filter, Additional Grouping/Filtering options do not apply from My Workspace. Users can search the Queue or Sort  the list Ascending/Descending. 
  • File Route Queue does not have Grouping/Filtering options, User can search the Queue or Sort  the list Ascending/Descending. 
  • When No Filters applied

 Example:  when 'Work Assigned' filter applied

  • When a Work Assigned filter is applied, it will show only those tasks that are assigned to the logged-in user who has to Start / End for Today / Mark as Completed work.

Example: When Inspections filter applied:

  • If the Inspection process is configured such that it needs additional information to be added in a smart Item, then the item is opened first and the user enters the data and then completes the Inspection Process.

  

 

Example: when Permits filter applied :

  • If the permit approval is configured such that it needs additional information to be added in a smart Item, then the item is opened first and the user enters the data and then completes the Permit approval.

 

Example: When Workflow filter applied: 

  • If the WF action is configured such that it needs mandatory information to be added in the smart Item, then the user is asked whether to open the item, the user enters the data and then completes the Workflow action.

 

Work Labor Example 

  • Work Labor can be configured Long or Short for a Project. The respective screens are displayed as shown below. If it is a short Work Labor, user can see the data on the tile itself and hence can 'Verify' or 'Send Back' from the tile buttons itself. 
  • If it is a Long Work Labor, User has to first View and then a popup is opened with all the Work Hours and in the popup user can Verify / Send Back. Once action is taken, the tile refreshes, the count reduces and this task vanishes from the queue.

Example: When Daily Reports filter applied:

  • This task is displayed  based on security role assigned in the Daily settings. Only those who have been assigned the role to verify reports will be able to view these tasks and the report.

  • Blockchain Queue launched from My Workspace is same as the Blockchain Queue when launched from the User menu. However, the Queue will default to Awaiting Authentication View/Filter, Additional Grouping/Filtering options not applying from My Workspace.  Grouping

  • We have a filter option by Grouping that is available in planner.
  • Tasks and Smart Items can be grouped based on:
  • Task Type - This will group the tasks based on the available filter types (like, Workflow, work labor, daily reports, Assigned tasks etc.). The Type label is shown at the top followed by the grouped tasks.
  • Date - This is default grouped by date (in descending order, latest on top).
  • Apps - All assigned tasks and workflow items will be grouped based on Apps in which they are created and displayed as groups.

Note: Search functionality should work the same way it works in Planner for tasks(search with tag name)  and Smart Apps ( search with Name and Description).

Grouping for Blockchain Queue

  • Blockchain Queue from My Workspace is the same as when launched from the User menu. However Queue will default to ‘Awaiting Authentication’ view/filter. Additional grouping/filtering options do not apply from ‘My Workspace’. Users can search the Queue or Sort  the list ascending/descending.

Grouping for File Route Queue

  • ‘File Route Queue’ does not have grouping or filtering options. Users can search the Queue or sort  the list ascending or descending.

Sorting of Tasks

  • The tasks and smart items for selected tile can be sorted either ascending or descending based on the requirement.

Navigate to Task Location 

  • A tag can be created with GPS or Project location. Based on the location it is assigned and displayed on the task as shown below. When Users click on the location Map mode will open or the file in sketch to show the location.

  • GPS location on a Task - This is a scenario where the task has a GPS location on it.

  • Users click on the GPS location displayed on the task.
  • The User navigates to the GPS location of the task on the map and the tag/task is highlighted.

Project location on a task 
This is a scenario where the task has a Project  location on it(Floor/Room etc.
  • User clicks on the project location displayed on the task. The file on which the location is present is opened in a different browser tab in Sketch and it zooms to the location.


  • Clicking on the project location will open the file in sketch , zoom to the location and show the tag.

Block chain enabled Project

  • Clicking on 'Blockchain Queue', will display all of the blockchain transactions for the logged in User. 
  • Blockchain Tile in 'My Workspace' has to be listed Only for Projects that are blockchain enabled. 



  • Blockchain Queue launched from My Workspace is same as the Blockchain Queue when launched from the User menu., However Queue will be default to Awaiting Authentication View/Filter, Additional Grouping/Filtering options does not apply from My Workspace. Active File Route

  • File Route is displayed in Green color. Click the 'File Route' tile and it will display all Active Routes.
  • The Routes shown in the Queue, are the Routes that are Active Routes assigned to the logged in User. 
  • The Count shown in the Tile '05' in this example is the Active Route assigned to the User that needs to be Stamped.

Pin 'My Workspace' 

  • The widget has a pin next to the minimize button in the widget. Pinning the My Workspace will keep workspace open. 
  • If it is pinned in the desktop, when the user logs into  the project then, 'My Workspace' will be displayed and expanded by default. 
  • If it is not pinned,  then it would be shown as a collapsed widget. If the user unpins the widget in the device and if he logs in next time on a desktop, the widget should be in collapsed form.
  • When in Pinned state, the icon is displayed in BLUE. When in unpinned state it is shown in black.
