Budget / Cost Metadata can be configured to select a budget line item created for the project and add / subtract expense from the main item by entering the Cost in the cost field. This cost gets added / subtracted when you use the 'Post to Budget' workflow activity. 

Budget / Cost Metadata Field

  • The Budget / Cost Metadata field can be configured with or without the Cost field and can be configured as a single select or multi select field.
     

 

 

 

Single Select Configuration - Without Cost field:

  • Click on the Budget / Cost' field to open the Properties page.

 

  • Click on the Budget / Cost field, which displays all the budget Items grouped by the Division ID as shown below.

 

  • You can select only a budget item from the list and save the smart Item as the configuration is single select.

 Single Select Configuration - With Cost field:

  • Open an item properties page and click on the budget/cost field. Click on the Budget field, which lists all the budget items created for the project, grouped by Division ID as shown below.

  • Filter the Division ID by using the filter, where you can select one or more Division IDs. Only the filtered Division ID's are displayed in the dropdown.

  • You can either directly enter the cost amount or can calculate using the calculate button.

  • Click on the 'calculate' button to open the calculator, enter the values and click Calculate button. The final value is calculated and gets filled in the cost filed.

 

  • Click on Save once all the fields are filled.

Multiselect Budget Items - Without Cost Field Configuration

  • Open a smart item that has been configured with budget/Cost MD field.

 

  • Click on the 'Select Budget / Cost' button to open the dropdown that displays all the budget items grouped by the Division Code'

  • Select one or more Budget items using the checkbox option or by clicking on the row.

 


  • You can also  filter the budget items by selecting one or more Division Code, which will further filter the Budget items and display the selected codes.

  • Pick the required items and click 'Select' button. The selected budget items get added to the grid.

Multiselect Budget Items - With Cost Field Configuration


  • When  'Allow Multiple select' and 'Allow Cost Input' are checked in the Item Properties details page, you are allowed to select multiple budget items and add Cost to individual budget items.


  • Open Smart item that has been configured with Budget/cost MD field and 'Allow Cost Input' fields.

  • Click on the 'Select Budget / Cost' button to open the dropdown that displays all the budget items grouped by the Division Code'
     

 

  • Select one or more Budget items using the checkbox option.

  • You can also first filter the budget items by selecting one or more Division Code, which will filter the Budget items and display only for the selected codes.

  • Pick the required items and click 'Select' button. The selected budget items get added to the grid.

  • You can either directly enter the cost amount or can calculate using the calculate button.

  • Click on the 'calculate' button to open the calculator, enter the values and click Calculate button. The final value is calculated and gets filled in the cost filed.

Budget / Cost MD Field - Vendor selection

  • The Budget Cost MD field will show the Vendor name field as an additional configuration to the  'Budget Cost' MD field 'Show and Allow all Vendors'.


Budget Manager - Adding vendor 

  • User can select one or more vendors who are responsible for the budget entities.

 

  • This is an optional step and user may or may not add vendors to a budget line item. 

Vendor Selection in Properties Page

  • The 'Show and Allow all Vendors' in the Budget Cost' MD field will display an additional field called 'Vendor'. All the selected vendors for a budget line item will be listed in the section.


Multi Vendor selection 

  • In the Multi select configuration the vendor field is displayed for every Budget/Cost line item. The vendor dropdown will list the respective vendors selected for every budget line item.


 

  • When a Budget Line item has only one vendor, then the vendor is auto selected.
