Smartapp Finance™ offers a powerful feature for GCs called Supplemental Contract Files, which simplifies the process of managing and organizing supplementary documents related to your contracts. This comprehensive guide will walk you through the steps to effectively use this feature.


First, click on the Project Settings menu.



Next, click on Supplemental contract files under the Finance™ settings section.



Click on "Add New Supplemental Contract File" to initiate the upload process.



Use the uploader grid to select and add the files you want to upload. You can drag and drop files into the uploader, or click the green upload button to upload files either from your Project Drive, or your local device.


You can edit the name and description of your document by clicking on each field and entering in the information you’d like.


Once you’re ready, click the blue upload button to upload the file.


Once uploaded, your file will appear in the grid with the other contract files.


Smartapp Finance™ generates a unique document ID for each uploaded file, and is shown in the Document ID column. This ID helps you easily identify and manage your files.


If you need to make changes to an existing file, simply click on the checkbox next to the file.



There are several options you can use to manage your files. To make changes to an existing file, click on the Edit icon.



To create a new version in Sketch™, click on the sketch icon to open the file in the Sketch™ Editor. The version number will update with each revision that is made.



To deactivate a file, click the Deactivate icon.



To reactivate a file, simply select the deactivated file, and click the reactivate button.




Each file is categorized by prefixes to ensure proper organization. For example, a Vendor Client contract ID will be written as VC_0005_1. To edit these prefixes, click the Gear icon in the top right.



To edit the prefix, simply click in the text field and type in your preferred prefix. 


Click the Save button once you’re done.


By following these steps, you can efficiently utilize the Supplemental Contract Files feature in Smartapp Finance to organize and manage all your supplementary documents.
