LiveNote allows a User to create an audio or video note. A LiveNote can be created in the LiveNote Folder in Drive, or as an attachment to a smart item or on a Sketch File or even on Maps in Map Mode. 


LiveNote System Folder in Drive


Create Recording

  • User selecting 'LiveNote' option and clicking on the '+' Add button.

  • A confirmation popup, " You are about to record a new LiveLink Session. Would you like to start now?" Yes / No is displayed as shown.

 

  • Clicking on 'Yes' will open the LiveLink panel with a started LiveLink Session as shown and clicking 'No' will cancel the operation.

  • Once User ends the LiveNote session by clicking on the 'End Call' icon , a popup is shown with 'Name' and 'Description'.

 

  • The LiveNote recording session by default will be named as <firstname_lastname_mmddyyyy_hhmm>.

  • Username is the name of the logged in User and can be changed accordingly. The description can also be added if required. Clicking on 'Save' will save the recording. 


 

 Note:

  • LiveNote Files created will be visible to all users having access to 'LiveNote' Folder. This security is set in the 'Drive Security'.
  • Once a LiveNote is saved successfully, it is saved with the file type as 'LiveNote'. Based on the buttons enabled / disabled, user can create an audio session, a video session with screen shared, or a video session with the camera ON.

The feature remains same as on the Desktop Version.

Create LiveNote in User Space Folder in Drive:


In Drive, a new folder by name 'LiveNote' will be available to users. Users can create LiveNotes under this folder by clicking on the '+' Add button. These can be later shared by selecting the LiveNote File and clicking the 'Share' Toolbar icon.

  • User navigates to Drive and clicks on the 'User Space' Folder.

 

 


  • A new folder 'LiveNote' is available to the user. User clicks on this folder to navigate inside the folder.

Note: This is a system folder and cannot be deleted.


 

  • Under the LiveNote Folder, User clicks on the '+' option and selects the 'LiveNote' option, with Information popup "You are about to start a new LiveNote, It would record all the audio/ video during the session...…." User clicks on the 'Yes', records the session and ends it. It gets added as a file with file Type = LiveNote.


  • Once User ends the recording, a popup is displayed with a message "Would you like to share this LiveNote with other team members?" Yes / No.


 

  • User clicks on 'Yes' and the 'Share' popup is shown to the User.

  • All the Users with whom the LiveNote is shared will receive the standard share File notification.

 


Grid View under the LiveNote Folder:


  • LiveNote Videos will be displayed here with the columns as shown when the User switches to Grid View.



Share LiveNote from User Space


By Default, A LiveNote created in the LiveNote folder under User Space' folder will not be shared with any other user(s). User who creates the LiveNote under his User Space will have to select the file and share it with other members as shown below.

  • Users can share it with members using the 'Share' Toolbar icon and select one or more LiveNote files and click on the 'Share' Toolbar icon to get the standard 'Share' User Interface. 

  • Select the Users to share the LiveLink file(s) and click on the 'Share' button. A notification is triggered to the shared Users.


Note: Based on the buttons enabled / disabled, Users can create an audio session, a video session with screen sharing, or a video session with the camera ON. LiveNote is allowed to be created ONLY inside the LiveNote Folder

The functions remain the same as on the Desktop Version.

Drive Search to have LiveNote:

Just like a user is able to search for a specific file type like Sketch, Photo, drawing etc., User should also be capable of searching for a file having filetype as 'LiveNote'. To facilitate this, LiveNote is added as one of the search option as shown below.



Create LiveNote as attachment in Item Properties Page:

  • A LiveNote can be created and attached to an Item Properties Page of a SmartApp. User can navigate to the 'Attachments' tab of the LiveNote and do so. User can add a LiveNote to a new Smart Item being created or an existing Smart Item.
  • Open an existing Smart Item from an App and navigate to 'Attachments' Tab and clicks on the '+' Add button.
  • A new option 'LiveNote' along with the existing options is displayed as shown below.

 

  • Select the 'LiveNote' option to see the Information popup "You are about to start a new LiveNote, It would record all the audio/video during the session."


 

  • Clicking on the 'Yes' will record the session, ends and gets added as an Attachment.


 

LiveNote saved under App Files Folder:

Any 'LiveNote' created in the 'Attachments' tab of a smart item for a specific Smartapp, will be created in a

folder with same name as that of the Smartapp under the 'Apps Files' folder in Drive. In the scenario 'LiveNote' recording was created for an item that belonged to 'Tasks' Smartapp. 

Hence, this File is visible under the location 'Drive > App Files > Tasks'

LiveNote in Sketch:

  • Users can open a file in Sketch and add a link on them. Different types of links are supported. Now, users are allowed to add a LiveNote Link on Sketch. Users can either create a new link on the sketch or add an existing one by picking one.

Add Existing Option

  • User opens a Sketch file. In the left pane, User clicks on the 'Add Link' icon. 


  • Clicking on the canvas where the link is to be placed users are displayed the 'Link as Symbol' popup upon selecting 'Add Existing' user needs to click on the 'Link Type' field. Along with the other linking options, a new option 'LiveNote' is displayed. User selects the 'LiveNote' option. The 'Select' dialog is displayed to link a LiveNote File.

 

Note: All LiveNote Recordings (for which the user has access to) will be displayed in this popup. User can either add an existing LiveNote File under User Space Folder or the LiveNote System Folder by navigating to the folder and picking it.


  • User clicks on the 'Add Link' button on the popup and the Link gets added on Sketch as shown below.


  • Upon Hover on the link, the name of the file is displayed in 'BLUE' color, as a hotlink.


  • Clicking on the hotlink, plays the recording in the standard player. 



Add New Option

  • User opens a Sketch File, In the left pane, the User clicks on the 'Add Link' icon. clicking on the canvas where the link needs to be placed is displayed the 'Link as Symbol' popup Select 'Add New' and then click on the 'Link Type' field the Information popup "You are about to start a new LiveNote, It would record all the audio/ video during the session...…."


  • User clicks on 'Yes' and the LiveNote session starts. After recording, the user ends it by clicking on the  End Call' icon. 
  • Users are shown a popup to name the LiveNote. 'Name' field will be  pre-filled with a name as shown in the mockup. (user can modify it, if required and add description). User clicks on 'Save'
  • The newly created  'LiveNote' Link is placed on  Sketch. On hover, it shows the name of the file. with File type and creation Date/time and creator name, as shown below.
  • The name of the LiveNote file is a hotlink. Clicking on it will open the file in the standard viewer as shown below.

Note: The name of the file is the same as defined before "Username mm-dd-yyyy hh-mm". Users can change it during creation in the popup.


 


Links Widget to have LiveNote Filter:

  • Users can select this filter and all the LiveNotes added on the File will be displayed on the File.


 

  • Users can further search for a specific LiveNote using the search option.


  • Clicking on the LiveNote filename Link will open the LiveNote in standard viewer and play it.

LiveNote in Map Mode:


LiveNotes can be added in Map mode. Users can do it by using the new option available from the '+' Add button.


Add Existing

  • User navigates to Map Mode and clicks on the '+' Add button and selects the 'LiveNote' option then clicks on the canvas where the link needs to be placed.

 

  • The 'Link as Symbol' popup is displayed, allowing the selection of 'Add Existing'. Clicking on the 'Link Type' field. Along with the other linking options, a new option 'LiveNote' is displayed.


  • User selects the 'LiveNote' option. The 'Select' dialog is displayed to link a LiveNote File.

Note: All LiveNote recordings (for which the user has access to) will be displayed in this popup. Users can either add an existing LiveNote file under the User Space folder or the LiveNote System folder by navigating to the folder and picking it.


  • User clicks on the 'Add Link' button on the popup and the Link gets added to Mao as shown below.
  • On hover on the link, it shows the name in 'BLUE' color, as it is a hotlink. User clicks on the hotlink and it plays the recording in the standard player.
