Following are the steps involved in reviewing and authorizing pay applications initiated by the  Approve & Manage Client Pay Applications (Client Pay Manager(Client)) or Create and Manage Pay Applications with both Vendors & Clients( Vendor Pay Manager(GC))


Authorizing Pay Items:

Notification and Access: Upon receiving an email notification, the Client can access the Pay Application item by clicking on the 'Review & Authorize' button in the notification or navigating to the 'Finance Tab' and clicking on the Client Pay Application tile to view the specific pay application created by the GC.

He sees the pay application item in the 'Awaiting Acceptance' status.

Note:  The same item will be in 'Submitted & Waiting for Other Party' status for the GC.

The reason for showing two statuses is, else, the user would not know whether the item was created by him or the GC, if in both cases we show the same status. 


Reviewing the Pay Application: The Client views the Pay Application item in the 'Awaiting Acceptance' status, ensuring complete transparency and accessibility for reviewing the details of the payment item created by the GC.


Action Options: The Client can choose one of two actions:


Authorize: By clicking on the 'Authorize' button, the Client confirms their acceptance of the payment, prompting the status of the Pay App item to transition from 'Awaiting Acceptance' to 'Payment Authorized.' This action indicates the Client's approval for the payment process to proceed.


When does Authorize Button enable?

a. Button is disabled by default,

b. A Lien file has to be added in the Lien Waiver tab

c. Checkbox is enabled in the Lien Waiver tab

d. Signature has to added in the Lien Waiver tab



Reject: If necessary, the Client can reject the Pay Item, sending it back to the GC for further revision and resubmission. This action moves the Pay Item to the 'Reject' state for both parties, allowing the GC to make any necessary updates before resubmitting the Payapp item.


Signature Process: The Signature area displays two sections, with the left part showcasing the GC's Signature, which is read-only. The name and date of the GC who signed are displayed below the Signature Box of the GC section. The right part of the Signature Box is where the Client can add their signature. Upon signing, the name and date of the Client who signed are shown below the Signature Box.

User can click on the Authorize option and Authorize the Pay Application


Create and Manage Pay Applications with both Vendors & Clients( Vendor Pay Manager(GC))

The name and date of the Client who signed are displayed below the Signature Box of the Client section. The right part of the Signature Box is where the GC can add signature. Upon signing, the name and date of the GC who signed are shown below the Signature Box.

GC clicks on the 'Authorize' button.

The status of the payapp Item changes from 'Awaiting Acceptance' to 'Payment Authorized'
