The FINANCETM: Budget Metadata Control provides flexible options for managing budget items, allowing you to select either a single budget item or multiple items as needed. Here’s how to configure and utilize these options effectively:
Navigate to the FINANCETM: Budget Metadata Control.
The Details Tab in the Designer for Finance MD offers a few new settings:
All fields related to this MD Control are presented in one section titled: Filter Settings
Above the Filter By drop-down, two new radio buttons are introduced, enabling the selection of either a single or multiple options from the Filter By selection
Allow Single
Allow Multiple
Filter By drop-down will come with the following options: Budget, Bid, Vendor Contract, Client Contract, Vendor Pay, Client Pay
A new Budget Settings subsection is introduced as an ON/OFF toggle (ON by default) with the following fields under this subsection:
Radio buttons - ‘Allow Single Budget Item’, ‘Allow Multiple Budget Items’
Display Budget Cost checkbox
Show and Allow all Vendors checkbox
Allow Cost Override checkbox
Text field to enter a label for the above cost field
Funding Source drop-down (with the following options: None, Change Order, Contingency, General Contractor)
Filter By Settings
The Filter By drop-down serves as a pivotal setting within the FINANCETM: Budget Metadata Control, allowing user to filter budget items based on various criteria including:
Budget
Bid
Vendor Contract
Client Contract
Vendor Pay
Client Pay
Filter By 'Vendor Contract'
Choosing ‘Vendor Contract’ in the Filter By drop-down ensures budget items are filtered appropriately by 'Vendor Contracts' to streamline selections. The following actions are permitted by the end-users when a Finance MD Control has been added as a control:
Select Vendor Contract(s): Choose one or more active vendor contracts based on the ‘Allow Single’ or ‘Allow Multiple’ selection for the Filter By drop-down
Budget Item Selection: Once contracts are selected, one or more budget items associated with the selected contracts can be chosen based on the selection for ‘Allow Single Budget Item’ or ‘Allow Multiple Budget Items’.
'Display Budget Cost' Setting
The setting 'Display Budget Cost' option allows displaying the Budget Cost related to the budget item in the app. If 'Display Budget Cost' configuration is checked, the setting reflects as "Budget Cost" with the value auto-populated and calculator symbol disabled.
'Allow Cost Override' Setting
In situations where adjustments to budget costs are necessary, the 'Allow Cost Override' feature comes in handy. This capability enables authorized personnel to modify budget costs as required, accommodating necessary changes.
Note: Any Number added to this field, does not make any updates automatically, unless 'Post Change Event' Workflow has been configured.
'Funding Source' Setting
The 'Funding Source' setting will come into play when the Budget Line Items are under consideration for a Change Event. The default Funding Source option is set to Change Event and this can be set to a different option based on the requirement. Options may include:
None
Change Order
Contingency
General Contractor
Note: ‘Funding Source’ will be enabled only if the ‘Change Event’ use cases need to be triggered which gets tied to the ‘Post Change Event’ workflow.
